All Accounts Receivable services including assessment billing, collection services, ACH and online payment options, all client data maintenance, special assessment tracking, and AR reporting. Preparation and distribution of all closing documents including estoppel letters, insurance verifications, and HOA/Condo lender questionnaires for re-sales. Operating budget forecasting, development, and management. All Accounts Payable services including vendor insurance verification, lien law compliance, approved invoice payment, and IRS 1099 and W-9 reporting. Coordination of annual audits and tax returns. Bank account and investment vehicle management and tracking. COMMUNITY ADMINISTRATION: Filing of Florida Uniform Business Report. Lease and resale approval in accordance with the governing documents. Coordination of interactive community website with secure access to owner account balances, governing documents, service and accounting requests, etc. Insurance policy management, renewal, and coordination of value appraisals. Assistance in the development of uniform operating policies including collections, rules enforcement, disaster, and investment management. Development of contract specifications and fair bid process management. Assistance with regulatory compliance including State Statutes, federal laws such as ADA and Fair Housing Act, and local ordinances. Repository for the Official Records of the Association. Serve as Registered Agent with the State of Florida. Assistance with community mailings and other correspondence including Annual and Special Members Meetings. Preparation of Aegis Solution flow chart for Annual Members and Special Members meetings. Transcribe recorded meeting minutes into typewritten form. This company doesn't return your phone calls. Won't answer the phone. Doesn't have there billing straight. I would not recommend this company for management of your subdivision.
